A free article on Marketing

By: Melanie Hudson

Business cover letters are responsible to make that first 5 second impression on the reader, and if you fail to impress him in couple of seconds, than you have failed to get through with your content as well. The printed matter needs to be formulated and written differently from that sent over email. You need to know those main differences of e-mail cover letter vs. printed cover letter regarding the effect they will have on the reader.

E-mail adapted cover letters for business

Since the Net is fast and easily accessible as well as highly cost efficient, there are a growing number of e-businesses thriving all over the globe. This does not mean that a real-world established (or fledging) business can not or should not send promotionals over email. Smart businesses will use both ways to get their word out.

Using e-mail to spread the word about your new product or service, requires the implementation of some key guidelines on email business cover letters:

1. Correct formatting - the email reader needs a certain type of formatting if you want to have them want to read and digest what you send them. Try to follow these few simple steps:

a. Do not get yourself dragged into writing a novel, the shorter the better.

If you make it understandable for a 13 year old, than everyone will get your point. Avoid at all cost any bombastic words or unusual phrases.

b. Five lines is what you should target for the length of your paragraphs.

You want your readers to read through the whole letter without tiring them with unnecessary content.

c. If you can stay professional, objective and interesting in your paragraphs, than you are allowed to write them as many as you feel necessary.

If you still have your doubts on the perfect length, than try to follow the usual number of paragraphs in a business cover letter, which is 6, plus minus 2 paragraphs.

d. Do not use screaming colors, keep your cover letter professional and content focused.

To emphasize specific paragraphs or words, try to use the usual bold or underline functions found in your word processor. If you simply can not resist using strong colors, than try not to mix warm and hot color tones too close to each other. Anything over prevailing 3 colors will not be positively accepted with majority of readers.

Do not make the email look like a Christmas tree as this would distract the reader from the subject instead of drawing him to it.

2. Whatch out for the words in the subject line that usually get penalized as spam.

Without knowing the name or the ID number of the person you are trying to e-mail, it will be hard to follow up on how many of your business letters ended up deleted by the user or by the mail client. The subject line should be the product or service name so the customer would immediately know what it is about - and not delete it.

3. Body content - whatever you write in the body of the business cover letter should be compelling enough to get your foot into the door.

The business cover letter is not the end of your communication with your prospective audience, be sure to give them reasons to opt in for your regular ezine notifications. A good business cover letter has at least three follow up business cover letters prepared in advance, that way you have built yourself a perfect highway to establish a deep and trustworthy relationship with your target audience.

The more attractive the offer, the faster would be the reaction of the customer.
